Running a club comes down to six recurring jobs: members, dues, scheduling, events, leagues, and communication. Here is how to handle each one, and the free tools that replace the spreadsheets.

A club is not one job, it is six small ones that never quite stop. Grouping them this way makes it obvious what a spreadsheet can hold and where it starts to break.
Who belongs to the club and in what role. One list you can invite to, approve, search, and keep current.
Record who has paid and who has not, without a separate spreadsheet that goes stale before the season ends.
Courts, sessions, and event dates in one place, so two people do not book the same slot by accident.
Tournaments, socials, and one-off competitions — created from the club and carrying its branding.
Seasons, ladders, and a standings table that updates as results come in, finished with playoffs.
Announcements and invites that reach members, so nobody hears about a change second-hand.
Membership is a lifecycle, not a list. Someone joins, gets approved, takes a role, maybe pauses, and eventually leaves. Each step should take a click, not a new tab.
Send an email invite, or add a member directly so they land on the roster straight away.
When a club does not auto-approve, people who join from the club page arrive as Pending. Approve to activate them, or reject to decline the request.
Add a whole roster at once. The file needs a Name column; Email and Rating are optional, and each row can carry a Role.
Owner, Admin, Tournament Director, or Member. Roles decide who can invite members, run events, and change club settings.
Suspend blocks a member's access without deleting their record. Reactivate restores it.
Toggle a member's membership fee between paid and unpaid when the club charges one.
Take someone out of the active list while keeping their history intact.
Hand the club to another active member. They become Owner and you drop to Admin, so the club always has exactly one owner.
The step-by-step walkthrough lives in the club help guide. If you are choosing where to run all of this, the club management software overview covers what the tools do.
A club runs a mix of events: internal socials, members-only leagues, and open tournaments anyone can enter. The same event tool should handle both ends.
Default an event to members-only when it is for the club, or uncheck that option to open it up. A public charity tournament and a members-only round robin can sit side by side without a second system.
Set a club logo and colour once and events created from the club use them automatically. An event with its own logo or brand colour keeps it, so a one-off event can still look like itself.
A public club gets a shareable page in the directory, where players can find it, see upcoming events, and request to join. A private club stays private and is not listed.
Browse the club directoryA league is the reason members keep coming back week after week. Run it as a season with a schedule, results, and a standings table that does the maths for you.

The same structure works for a casual ladder that runs all year: players challenge up and down, and the standings show who has earned the top spot. See the sports league management software page for how seasons, standings, and playoffs fit together.
You do not need to pay to start. Creating a club profile is free, and a paid plan is there for clubs running bigger events.
Free — create a public or private club profile and manage its members.
Club plan — Club $1188/year, annual only, licensed per location (one club), and covering events up to 256 players each.
Member discount — a club can set a discount percentage, so members pay less when they register for that club's events.
The pricing page has the current tiers and what each one includes: see Brakto pricing.
Six recurring jobs: managing membership, tracking dues and membership status, scheduling, running events, running leagues and standings, and communicating with members. Most of the day-to-day work is keeping those six in sync, so people know where to be and who has paid.
Keep one member list with a status (pending, active, suspended, or removed) and a paid or unpaid flag alongside it. On Brakto you invite members by email or add them directly, approve or reject join requests, bulk-import a CSV or Excel roster, assign roles (Owner, Admin, Tournament Director, Member), suspend or reactivate, mark a membership paid, remove members, and transfer ownership.
Yes. In the club admin console, choose Add / Import Members and switch to the Import CSV / Excel tab. The file needs a Name column; Email and Rating are optional, and you can include a Role column (Member, Tournament Director, or Admin). Each row is reported as added, skipped, or errored, so you can see exactly what happened.
It depends on the event. A club can default its events to members-only, then uncheck Members-only to run a public event such as a charity tournament or an open social. Members-only events ask guests to sign in or join the club, and they stay out of public event listings and search.
Run it as a season: enter the players or teams, set the schedule, record results, and let the standings table update as you go. You can finish a season with playoffs, and the same setup works for a club ladder that runs all year.
